Welcome to the best job on campus! This is our motto, and the students who work for us tend to agree. The Rec Sports Department has the largest staff on campus and our jobs are quite diverse in nature. Jobs with Hill Rec Sports get snatched up quickly and range from Varsity and Intramural game management to Control Desk, Weight and Fitness monitoring. We hire only those students willing to work in multiple areas, with weekend flexibility. Students with interest or skills in the areas of sports officiating or "Group X" instruction are particularly sought after.
We offer job growth, leadership and graduate school opportunities to our strongest employees. Student development is of the highest priority when you are employed by Hill Rec Sports.
HILL REC SPORTS
STUDENT PERSONNEL EMPLOYMENT GUIDELINES
A. Application
1. Applicants for employment with Rec Sports must fully comply with all Student Aid and Finance procedures. These include, but are not limited to, FAFSA, I-9, W-2, and other steps.
2. If accepted into the work-study
program, the applicant must then apply to work for Rec Sports. This
process must be in the form of an IN PERSON INTERVIEW.
Those qualifying for work-study will be given first consideration
for all jobs. Moreover, those returning from the previous year's
staff will also have first priority. Additional consideration
will be given in the areas of past work performance, previous work
experience, availability, ambition, appearance, skill level and
initiative.
3. Available job openings and descriptions will be posted on line (via Student Aid and Finance) for the applicant's information. E-MAILS AND PHONE CALLS AND ANY NON PERSON TO PERSON COMMUNICATION, WILL NOT BE RESPONDED TO.
B. Training
1. Meetings have been scheduled for all job categories and must be attended by those desiring the specific position. ONLY THOSE IN ATTENDANCE WILL BE CONSIDERED, SO DO NOT MISS THE MEETING.
2. Employees are paid to attend these meetings. A master schedule may be obtained at the Rec Sports Office with dates and times.
C. Schedules
- Employees will be required to fill out a "Work Availability" form. Shifts are assigned according to the availability indicated on these forms.
- Due to various facets of Rec Sports, work schedules may vary from week to week for positions such as Intramural Sports, Home Events and others.
- Workers are responsible for picking up their schedules, in person, at the Control Desk, each Friday afternoon.
- Permanent schedules for positions at the Control Desk, Weight Rooms and Fitness Center are assigned for the semester. Employees who call the Sports Complex for their schedules may be subject to suspension or dismissal.
D. Substitution and Absenteeism
As a condition of your employment with Rec Sports, you are required to be present and on time for each activity or assignment you are scheduled for. This includes Building Supervisors, Control Desk Attendants, Weight Room and Fitness Center Monitors, Sports Officials, Scorekeepers and Statisticians. This relates to both scheduled work hours as well as in service training meetings.
When you accept employment with Rec Sports, we assume it is because you want to work. We schedule a certain number of people to be present at a given time to cover one event. Reductions in that number because of absenteeism can be potentially dangerous to the program's participants in addition to being detrimental to the service we are attempting to provide and harmful to the positive image we are trying to project to the Stonehill community.
THERE IS NO EXCUSE FOR SIMPLY NOT SHOWING UP TO WORK! Schedules are printed far enough in advance to allow students the opportunity to plan ahead. It is your responsibility to know your scheduled work hours and be on time. Look ahead and identify potential conflicts in your schedule before they happen.
If a conflict does arise and you cannot work your scheduled assignment, it is your responsibility as an employee to find a replacement from a list of co-workers. THERE IS NO ACCEPTABLE EXCUSE FOR NOT FINDING A REPACEMENT. This list will be supplied along with the permanent work schedule within the first few weeks of the semester. It is your responsibility to notify the supervisor of your replacement and insure that the person reports to work at the scheduled time. If any extended conflicts exist the employee should notify the supervisor immediately, so adjustments can be made. Exceptions to this procedure will be stated at training meetings.
Termination
A two week notice is requested when an individual wishes to terminate his/her employment with Rec Sports. This two week period is required to provide a supervisor with ample time to find a replacement. Failure to supply this notice will result in a poor employee record, which may be passed on to future employees.
Dismissal
In order to be completely fair to everyone involved including yourself, your co-workers and most of all the participants, the following guidelines will be observed. We may follow a procedure of issuing written warnings in certain cases based on specific criteria. A MAXIMUM OF Two written warnings within one academic school year (Sept-May) will be grounds for dismissal.
Written warnings must be issued by an Administrative Rec Sports Staff member. The original copy of this warning goes to the employee and a duplicate copy is kept on file.
Written warnings are at the discretion of the administrator. Written warnings are not mandatory, and in general, ONE MISSED WORK ASSIGNMENT WILL USUALLY BE CAUSE FOR TERMINATION.
Criteria for a
Written Warning
1. Absences or Tardiness
a. One unexcused absence from scheduled work hours (exception: see "Dismissal" previous paragraph)
b. One unexcused absence from an In-Service Training meeting
c. Arriving late for a scheduled shift without reasonable justification
2. Failure to perform job duties stated in specific job descriptions and/or to act in an improper, unsuitable manner representing the college or the Rec Sports program. The extent and severity of the given situation will determine if action in this category is serious enough to warrant outright dismissal.
NOTE: An unexcused absence is defined as any absence that is not defined in the following criteria: an illness, emergency situation, academic or extra-curricular activity providing that you:
a) find someone to work for you and
b) notify a supervisor as soon as possible and
c) get approval of your replacement from the administrator or supervisor
Grievance
At times, issues and problems arise from job related situations. Your supervisors should be consulted to assist in solving any problems. Should the situation not be resolved to your satisfaction, the grievance process may be undertaken.
The Work Study program has set up a grievance procedure should any student feel they were treated unfairly. It is a simple process. It states in the Stonehill College Work Study manual, "If students have a grievance, they should send a signed letter explaining the grievance to the Work Study office." From there the situation will be handled by the Work Study office in coordination with the supervisors at the Sports Complex.
Evaluations and In Service Training
1) All staff are expected and required to know all general and specific tasks and responsibilities pertaining to their respective positions.
2) Staff will be evaluated periodically by supervisors for the purposes of safety, customer service and optimal operations of the Recreational Sports Department.
3) The department will use both direct (supervisor observation and on- line training) and indirect (secret shopper) methods of evaluation.
4) Any employee who, by omission or commission is deficient in job performance three or more times during the academic year will be required to attend an in service session for that job. In addition any employee who fails to successfully complete their on- line training will also be required to attend In Service.
5) Failure to attend in service sessions will result in loss of work study position with Rec Sports.
6) Staff will also be evaluated on superior job performance. Those staff who excel in one or more areas of their work will be under consideration for employee incentive programs such as gift certificates, clothing, equipment etc.
Appearance/Dress
Many student employees will be provided with uniform items such as name badges, shirts, jackets and hats that are specifically designed for certain jobs. Each employee should wear his/her appropriate dress every time he/she is scheduled to work. Employees failing to wear their appropriate uniform will be considered to be in violation of the policies outlined in "Dismissal", Rule 2. Since all Rec Sports positions involve interaction with the public, employees are asked to keep a neat and clean appearance.
Work Area Conditions
Certain regulations will apply to all student employees while on the job. A breech of these rules may result in probation, suspension or dismissal. Any exceptions to these procedures must be granted by the immediate supervisor. These regulations include, but are not limited to, the following:
1. Employees cannot study during work hours except for certain designated positions and only when all other work assignments have been completed and it does not interfere with the job performance.
2. Employees must keep the work area neat and clean at all times.
3. Employees must remain alert at all times. No sleeping on the job.
4. Employees are not permitted to play in any activity while on the job.
5. Employees may not use any alcohol or tobacco products while on the job.
6. Employees may not use any audio or video equipment while on the job unless it is directly related to their work assignment(s).
Meetings and Memos
Periodically throughout the year, meetings will be called for student employees working in a certain position. These meetings provide new information, update old procedures and clear up any problem areas. All employees will be notified of these meetings well in advance and attendance is mandatory. The Rec Sports Office will distribute memos, letters or new procedures throughout the year. Employees are responsible for any information given to them. Moreover, they must abide by these new procedures.
